01 Introduction

Real Mold Remediation ("we," "us," "our," or "the Company") is the trade name for Real Mold Solution LLC, a Florida-registered limited liability company (FL Document #L23000493081 · FEI/EIN 93-4385119), operating two Florida-licensed mold remediation locations: Real Mold Remediation Orlando (121 S Orange Ave Suite 1500, Orlando, FL 32801) and Real Mold Remediation Kissimmee (241 Ruby Ave Ste 205, Kissimmee, FL 34741).

We provide mold remediation, mold inspection, water damage restoration, indoor air quality services, and related emergency dispatch services across Central Florida. We are licensed by the Florida Department of Business and Professional Regulation (DBPR) as Mold Remediator #MRSR4105 and Mold Inspector #MRSA3966, certified by the IICRC (S500 + S520), and carry $2M in commercial general liability + $1M professional liability insurance.

This Privacy Policy describes what information we collect when you visit realmoldremediation.com (the "Website"), call our dispatch lines, submit a contact form, schedule an inspection, or otherwise interact with us — and how we use, share, retain, and protect that information.

Plain-English summary: We collect what you give us when you contact us (name, phone, email, address, what's wrong) plus standard analytics data when you visit the site. We use it to respond to you, schedule inspections, document insurance claims, and improve our marketing. We share it only with the specific third parties listed below — never sold to brokers. Florida law requires call recording disclosure, which our greeting handles. You can call, text, or email us anytime to access, correct, or delete your data.

02 Information We Collect

We collect information in three ways: information you give us directly, information collected automatically when you visit the Website, and information recorded during phone calls.

2.1 Information You Provide

When you fill out a contact form, request a free inspection, or submit any other form on the Website, we collect:

  • Name (first and last)
  • Phone number
  • Email address
  • Property address or ZIP code (for service area routing and dispatch)
  • Problem description or service requested (what's wrong, urgency, property type)
  • Insurance carrier name (only if voluntarily provided for claim coordination)
  • Photos or files (only if voluntarily uploaded as part of an inspection request)

You may also provide additional information voluntarily by email, text message, or during a phone conversation.

2.2 Information Collected Automatically

When you visit the Website, our hosting provider (Cloudflare) and analytics tools collect standard internet data automatically:

  • IP address and approximate geographic location (city/region level)
  • Device type (desktop, tablet, mobile) and operating system
  • Browser type and version
  • Referring URL (the website that brought you to ours, if any)
  • Pages viewed, time on each page, and scroll behavior
  • Click events on phone numbers, form fields, and CTAs (for conversion measurement)
  • Cookie identifiers (see Section 5)
  • Google Click Identifier (GCLID) when you arrive via a Google Ads click

2.3 Phone Calls and Call Recordings

When you call (954) 707-8273 (Orlando) or (407) 616-1860 (Kissimmee), the following occurs:

  • Calls are routed through CallRail, a phone analytics platform. CallRail captures your caller ID number, the duration of the call, the page on our Website that generated the call (Dynamic Number Insertion), the source of the call (Google Ads click, organic search, direct), and a recording of the conversation.
  • Call recording disclosure (Florida §934.03 compliance): The greeting at the start of every recorded call notifies you: "Hello, you've reached Real Mold Remediation. This call may be recorded for quality and training purposes. Please stay on the line." By continuing the call after this disclosure, you consent to recording under Florida's two-party consent statute. You may request that the call not be recorded by stating so at the beginning of the call; we will honor that request and disable recording for that call.
  • Call recordings are used for quality assurance, training, dispute resolution, and accuracy in service documentation. Recordings are retained for ninety (90) days, then automatically deleted.

03 How We Use Your Information

We use the information collected for the following legitimate business purposes:

  • Respond to inquiries — return your call, reply to your form submission, schedule an inspection appointment.
  • Provide services — perform mold inspection, remediation, water damage restoration; coordinate scheduling, technician dispatch, and follow-up.
  • Insurance documentation — prepare adjuster-ready reports, chain-of-custody documentation, and post-remediation lab clearance certificates (only when you are filing an insurance claim and have requested this).
  • Quality assurance and training — review call recordings and service outcomes to improve technician performance and customer service.
  • Marketing measurement — measure how visitors find us (organic search, Google Ads, referrals, direct), which pages convert, and the cost per lead per channel.
  • Personalized advertising — Google Ads conversion tracking and enhanced conversions (hashed email and phone number) used to attribute leads to specific ads and improve campaign optimization. We do not use this data for cross-site behavioral retargeting without a separate opt-in.
  • Legal compliance — fulfill regulatory requirements (FL DBPR licensing, EPA documentation, OSHA workplace safety records, IRS reporting).
  • Fraud prevention and security — detect suspicious form submissions, protect against denial-of-service attacks (via Cloudflare), and verify legitimate business communications.

We do not use your personal information to make automated decisions that have a legal or similarly significant effect on you.

04 Third Parties Who Receive Data

We share specific categories of data with the following third-party service providers strictly for the purposes listed. We do not sell personal data to data brokers, advertisers, or any third party.

05 Cookies + Tracking Technologies

We use cookies, pixels, and similar tracking technologies to operate the Website, measure performance, and support advertising attribution. A "cookie" is a small text file placed on your device by a website you visit.

5.1 Categories of cookies we use

CookieSet ByPurposeDuration
_ga, _ga_*Google Analytics 4Distinguish unique visitors, session tracking, conversion measurement2 years

We use Enhanced Conversions for Google Ads: when you submit a form, your email and phone number are hashed client-side with SHA-256 before being sent to Google. This allows Google to match conversions to ad clicks without sharing your raw email or phone. The hashing process is irreversible.

5.2 Opting out of analytics and advertising cookies

You can opt out of cookie-based tracking in several ways:

  • Browser cookie controls — most browsers let you block, delete, or restrict cookies (Chrome, Safari, Firefox, Edge all have settings panels).
  • Google Analytics opt-out — install the official Google Analytics Opt-out Browser Add-on: tools.google.com/dlpage/gaoptout
  • Google personalized ads — adjust your Google account ads settings: adssettings.google.com
  • Industry opt-outs — Network Advertising Initiative (optout.networkadvertising.org) and Digital Advertising Alliance (optout.aboutads.info) industry opt-out tools.
  • Do Not Track (DNT) — we respect browser-level DNT signals for analytics, but advertising cookies set by Google may continue per Google's own DNT policy.

Disabling cookies may affect Website functionality (form submission tracking, session persistence) but will not block your ability to call us, browse content, or request services.

06 Your Rights + Choices

You have the following rights regarding the personal information we hold about you:

  • Access — request a copy of the personal data we have about you.
  • Correction — ask us to correct inaccurate or incomplete data.
  • Deletion — ask us to delete your data (with reasonable exceptions for active service records, insurance claim documentation, or legal compliance obligations).
  • Marketing opt-out — request that we stop using your phone or email for marketing follow-up (reply STOP to any text or email us at [email protected]).
  • Withdraw consent — withdraw consent for non-required processing (e.g., insurance carrier coordination) at any time.
  • Object to processing — object to the use of your data for direct marketing or analytics.
  • Data portability — request your data in a structured, commonly used, machine-readable format.
  • Lodge a complaint — file a complaint with the Florida Attorney General's Office (myfloridalegal.com) or the Federal Trade Commission (ftc.gov/complaint).

To exercise any of these rights, contact us at (954) 707-8273 or email [email protected] with the subject line "Privacy Request." We will respond within thirty (30) days. We may need to verify your identity (matching your phone, email, or service address against our records) before fulfilling certain requests.

07 Data Security

We implement commercially reasonable physical, technical, and administrative safeguards to protect your information:

  • HTTPS encryption across the entire Website (TLS 1.3 via Cloudflare).
  • SHA-256 hashing of email and phone prior to transmission for Enhanced Conversions (irreversible · raw values never leave your browser for that purpose).
  • Limited access controls — personal data is accessible only to authorized personnel who need it to perform their job (dispatch, field technicians, billing).
  • Cloudflare DDoS protection, bot management, and WAF (Web Application Firewall) at the edge.
  • Encrypted form transmission — form submissions sent over HTTPS to Resend (encrypted in transit and at rest).
  • Background-checked technicians — every field crew member is W-2 employed (no subcontractors), background-checked, and trained on customer data confidentiality.
  • Annual review of vendor security practices and policy alignment.

Despite these measures, no method of transmission over the internet or method of electronic storage is 100% secure. We cannot guarantee absolute security but will notify affected individuals as required under Florida §501.171 (Florida Information Protection Act) in the event of a verified data breach.

08 Data Retention

We retain personal information only for as long as necessary to fulfill the purposes for which it was collected, with the following standard retention periods:

We do not knowingly collect personal information from children under thirteen (13). If you believe a child under thirteen has provided us with personal information, please contact us immediately at (954) 707-8273 or [email protected] and we will promptly delete it.

10 Florida-Specific Disclosures

As a Florida-based and Florida-licensed company, our data practices comply with the following Florida statutes:

10.1 Call Recording (Florida §934.03 — Two-Party Consent)

Florida is a two-party consent state for call recording. We obtain consent through the recorded greeting at the start of every dispatch call ("This call may be recorded for quality and training purposes. Please stay on the line."). Continuing the call after this disclosure constitutes consent under §934.03(2)(d). You may request that the call not be recorded at the beginning of the call.

10.2 Data Security (Florida §501.171 — Florida Information Protection Act)

We comply with Florida's data security requirements, including reasonable security measures (Section 7 above), and will notify affected Florida residents within thirty (30) days of confirming a security breach involving their personal information, as required by §501.171(4).

10.3 Deceptive Advertising (Florida §501.204 — FDUTPA)

All advertising and marketing claims on this Website and through our advertising channels reflect verifiable services, licensed credentials, and real customer outcomes. We do not engage in unfair or deceptive trade practices as defined by the Florida Deceptive and Unfair Trade Practices Act.

10.4 Florida Mold Licensing

All mold-related services advertised on this Website are performed by Florida-licensed mold professionals under Florida Statutes Chapter 468 Part XVI (Mold-Related Services Licensing Act): Mold Remediator license #MRSR4105 and Mold Assessor (Inspector) license #MRSA3966. License status can be verified at the Florida Department of Business and Professional Regulation (myfloridalicense.com).

11 California Residents

If you are a California resident, the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA) provide additional rights:

  • Right to Know what personal information we collect, use, share, and sell about you.
  • Right to Delete personal information we have collected (subject to legal exceptions).
  • Right to Correct inaccurate personal information.
  • Right to Opt Out of Sale — we do not sell personal information as defined by the CCPA. We do share data with the third parties listed in Section 4 strictly for service delivery and ad measurement.
  • Right to Limit Sensitive Personal Information use.
  • Right to Non-Discrimination — we will not deny services, charge differently, or provide a different level of service because you exercised your CCPA rights.

12 Updates to This Policy

We may update this Privacy Policy from time to time to reflect changes in our services, applicable laws, or third-party providers. When we make material changes, we will:
